Consolidations

CargoPilot enables administrators to configure consolidation routes that can be displayed to customers during the quoting and booking process. These consolidations are managed through CargoPilot’s internal API rather than being directly linked to airline APIs. Customers can book these consolidations as if they were standard airline routes.

Managing Consolidations in the Admin Panel

Administrators can fully manage consolidation routes within the Admin Panel, including the ability to:

  • Create and modify consolidations.
  • Set limits and constraints.
  • Define flight details for accurate data sharing.
  • Establish pricing structures, including minimum, base, rate, and maximum pricing.

Latest Acceptance Times (LAT)

Setting the correct Latest Acceptance Time (LAT) for each consolidation route is crucial to ensure smooth operations. LAT is determined based on the scheduled departure time of the consolidation route and must be configured as follows:

Example 1:

  • Departure Time: Saturday at 18:00 (6:00 PM)
  • LAT: Saturday at 10:00 (10:00 AM)
  • LAT Entry: -8 (indicating an 8-hour difference from departure)

Example 2:

  • Departure Time: Monday at 06:00 (6:00 AM)
  • LAT: Sunday at 19:00 (7:00 PM)
  • LAT Entry: -11 (indicating an 11-hour difference from departure)

Air Waybill management (AWB)

Sometimes AWBs are pre-defined by airlines, CargoPilot allows administrators to add their own AWB-number to a consolidation. This way the booking gets automatically subscribed to the track and trace system, which allows the ordering customer to track their shipment!

The AWB valid from value is overwritten if any other AWB added has a greater value.

Leg management (stops)

In CargoPilot, administrators can manage flight legs (stops) to define multi-segment routes for consolidations. Each leg represents a segment of the journey, specifying details such as flight number, departure and destination airports, and scheduled timings.

CargoPilot allows users to add multiple flight legs to a consolidation route, ensuring accurate tracking of (complex) itineraries.

  • Flight # – The designated flight number (e.g., KL0001).
  • Departure – The origin airport code (e.g., AMS for Amsterdam).
  • Destination – The destination airport code (e.g., MIA for Miami).
  • Scheduled ETD (Estimated Time of Departure) – The planned departure time in 24-hour format (e.g., 18:00).
  • Scheduled ETA (Estimated Time of Arrival) – The expected arrival time, which can include a +1 notation for overnight flights (e.g., 09:00 +1 indicates arrival at 09:00 AM on the following day).

Please ensure that if a flight arrives at the following day, the +1 notation is used, with a space between it and the 24-hour time format (e.g., 09:00 +1). When adding a new stop, continue counting from the original departure date to maintain a chronological order.

Consolidation rate sheet

Each consolidation can be assigned a specific rate structure, allowing for flexible pricing models. The following pricing options are available:

  • Minimum rate – The lowest possible charge for the consolidation.
  • Base rate – The standard flat fee applied to the consolidation.
  • Rate per kilogram – A dynamic pricing model that calculates costs based on shipment weight.

Creating a consolidation

  1. Navigate to the admin panel
  2. Navigate to Application management > Consolidations
  3. Click Create Consolidation located top-right of the table
  4. Fill in the required fields
  5. Click Create Consolidation

Editing a consolidation

  1. Navigate to the admin panel
  2. Navigate to Application management > Consolidation.
  3. Select a consolidation record
  4. Click the edit icon, located top-right of the page
  5. Click Update Consolidation
